Organising your Filing cabinets
Filing
cabinets are a great way to organise all your documents and files
but unfortunately they don’t organize themselves! If you are struggling
to file all your documents in the office or at home below are a few
handy hints.
- Filing cabinets allow you to categorise your documents meaning
you can find them easily again later. You need to think carefully how
many categories you are going to need. You can assign colours to your
categories which will mean you can find them by sight straight away or
for larger sets you can name or number them. Examples of categories
could be invoices, bank statements, utility bills etc.
- After you have determined how many categories you will need and
what colours you will be assigning then you should label their
individual folders clearly and place the relevant documents inside.
- If you have a lot of categories and are not using colour codes it
is a good idea to order your categories alphabetically. This means you
will be able to find your documents easily later.
- Many businesses are required to keep files for a long time,
however if your filing cabinets are busting at the seams you should go
through the contents and identify documents that can be removed and
shredded. For the protection of your business or yourself we recommend
that all discarded documents be shredded to eliminate any chance of
identity fraud.
- Get into the habit of organising your filing cabinet on regular
days. This will provide you a useful routine and keep your filing
cabinets organised and up to date.
